How to Complete Interviews
Interviews with all AEDY program stakeholders should be completed prior to the week of monitoring. Some interviews may be follow-up on by the AEDY team to help provide the team a holistic view of the program.
See the FSA Checklist for LEAs & AEDY Programs (below) for an easy way to track your own completion of this section.
Follow the steps below to complete the Interview process:
(Step 1) From the FSA dashboard, click the blue "Interviews" text in the "Interviews" column. From the FSA dashboard, click the blue "Interviews" text in the "Interviews" column.
The interviews dashboard is made up of four main components: The Options box, the Uploads box, the Information box, and the Interview Access Codes. Each can be used to complete the interviews component of the monitoring cycle.
(Step 2) The Options box includes the list of all the types of interviews to be conducted. Complete the Demographic Information and Program Director Interview available in this box.
Clicking on one of the types of interviews will show the list of persons who have so far completed the other interviews. You will not be able to view the interview responses, these are only available to the PaTTAN/PDE team.
(Step 3) Use the Upload Contacts/Email/Phone box to provide:
A contact sheet with name, position, phone number, and email address for all staff
A contact sheet for the parents/family of students in placement during the monitoring (name, phone, email address, student name)
A staff schedule - this allows the PaTTAN/PDE team to ensure that any follow-up call are made outside of class times
(Step 4) The Information box contains two links:
The first is the link to provide to parents to complete the parent survey. Parents will be able to complete the survey in either English or Spanish and the survey does work on mobile devices.
Send the Parent Survey out to all parents/families of students who are seated during the week of monitoring in your AEDY program. Families will need to be provided with the link included in the Information box. Parents do not need an access code, but will need to identify the program site by name, so it may be helpful to give the exact name of your program when distributing the parent survey. See the buttons below for a one-pager in English and Spanish that can be used to help parents and families complete the interview process.
2. The second is the link for all staff and student interviews - the link is the same for all staff and students, regardless of position. The unique code (discussed below) is required for staff members and students to complete the appropriate survey.
(Step 5) The Interview Access Codes box includes a table of Access Codes depending on the type of interview to be completed. *Each Access Code is unique to your Program and to the interview type and must be provided to all stakeholders of the appropriate category*. For example, all regular education teachers in your program must be provided with the Regular Ed Teacher Interview Access Code in order to complete their interviews. Staff members who do not fall into one of the provided categories should use the Additional Interview code (e.g. classroom aides, security staff, etc.).
Send the surveys to all staff and students in placement during the week of monitoring for your AEDY Program. Each group of interviewees will need to be provided with (1) The link to complete the Interview and (2) The Access code to complete the interview. Remember to distribute this information with enough time for everyone to complete the interviews prior to the week of monitoring.
*Please note that the sample access codes in the screenshot above are NOT the codes needed to complete the survey. Staff should be provided with their program's codes by their program administrator.*
Remember to send out the survey information early enough to allow everyone adequate time for completion. You can monitor the responses received via the Options box (discussed above in step 2).
